Natty Hatty — Coaching Background Check Policy

Natty Hatty requires every Organization to conduct criminal background checks on all adults who interact with minors.
Natty Hatty, Inc. (“Natty Hatty”) is committed to protecting the safety and well-being of minors participating in youth sports.
This Coaching Background Check Policy outlines the responsibilities of Organizations, coaches, volunteers, and staff who use Natty Hatty to manage teams, events, and athlete data.
This policy does not replace or override legal background-check requirements mandated by leagues, governing bodies, state or federal law, or SafeSport guidelines.
Natty Hatty provides a platform; Organizations are solely responsible for vetting and screening all individuals who work with minors.
1. Natty Hatty’s Role (Platform-Only)
Natty Hatty:
Does not conduct background checks
Does not collect Social Security Numbers
Does not verify coach identities
Does not approve or certify coaches
Does not validate compliance with local, state, or national screening laws
Does not provide SafeSport, FBI, or state-level clearance services
Natty Hatty serves only as a technology platform, not as a hiring or screening service.
2. Organization Responsibilities (Mandatory)
Youth-sports organizations using Natty Hatty must:
Conduct background checks on all coaches, staff, volunteers, and administrators who interact with minors
Comply with all applicable laws, including:
U.S. Center for SafeSport requirements
State & county background check rules
Youth sports statutes (varies by state)
Sex offender registry checks
FBI/DOJ fingerprinting where mandated
Follow their governing body’s screening rules (Little League, USSSA, AAU, USYS, US Club Soccer, YMCA, etc.)
Maintain proof of background checks and certifications internally
Remove individuals who fail screenings or present safety concerns
Ensure only approved personnel are granted Admin/Staff roles inside Natty Hatty
Notify Natty Hatty immediately if a staff member poses a safety risk
Re-screen staff annually or as required by local law or governing body rules
Natty Hatty does not store or verify background-check documentation.
3. Prohibited Individuals (Zero-Tolerance)
Organizations must not allow the following individuals to coach, volunteer, or access minors through Natty Hatty:
Individuals listed on sex offender registries
Individuals banned by SafeSport
Individuals with disqualifying criminal convictions
Individuals with unresolved abuse allegations
Individuals under investigation for child endangerment
Individuals who fail organizational screening criteria
Individuals prohibited by league or governing body rules
Natty Hatty reserves the right to suspend or terminate accounts associated with prohibited individuals.
4. Coach Verification Inside Natty Hatty
Organizations must ensure that only screened and approved individuals are:
Added as coaches
Granted admin privileges
Given messaging access
Assigned to teams
Given access to rosters containing minors
Using the Business Center with privileged permissions
Natty Hatty logs all admin actions but does not validate eligibility or screening status.
5. Messaging & Interaction Safety
Coaches must:
Communicate with minors only through parent-visible channels
Not initiate private conversations with minors
Use Natty Hatty’s parent/guardian visibility protections
Avoid sharing personal contact information with minors
Report suspicious or harmful behavior to their Organization immediately
Natty Hatty enforces message safety controls but does not monitor communications manually.
6. Reporting Safety Concerns to Natty Hatty
Organizations must immediately notify Natty Hatty at:
if:
A coach or staff member is accused of misconduct
A background check identifies disqualifying behavior
A user poses a safety threat
Local authorities become involved
SafeSport, CPS, or law enforcement issues arise
Natty Hatty may take protective action, including disabling messaging, removing platform access, or terminating accounts.
7. Recordkeeping & Compliance
Organizations must maintain internal records of:
Completed background checks
SafeSport certifications
Annual renewals
State-required disclosures
Discipline or removal actions
Volunteer approvals
Staff training records
Natty Hatty does not store or manage these records.
8. Data Privacy for Screening Providers
Organizations using third-party screening vendors must ensure compliance with:
FCRA (Fair Credit Reporting Act)
State privacy laws
CPRA (California Privacy Rights Act)
COPPA (Children’s Online Privacy Protection Act)
Organizational privacy policies
Natty Hatty does not access or process background-check documents.
9. Enforcement
Natty Hatty may take one or more of the following actions if an Organization fails to comply with screening requirements:
Suspend accounts
Restrict access to minors’ data
Limit messaging and admin permissions
Terminate Organization access entirely
Forward credible safety risks to authorities
Natty Hatty’s goal is to protect minors and maintain platform integrity.
10. No Legal Advice Disclaimer
Natty Hatty does not provide:
Legal advice
Guidance on screening requirements
Recommendations regarding fitness to coach
Liability guidance
State compliance interpretation
Organizations should consult legal counsel or their governing body for mandatory screening rules.
